Dimensions should include units and measurement direction. Product records should state manufacturer, profile, colour, coating and relevant component codes. Similar-looking flashings and fasteners may perform different functions, so generic descriptions are not enough for future service.

Record approvals before affected work proceeds

Approval points should occur before material ordering, fabrication or concealment. Colour and profile samples belong before purchase. Shop details belong before fabrication. Deck repairs and concealed changes should be photographed and priced before covering them where practical.

An approval does not erase the contractor’s workmanship responsibilities or transfer specialized design duties to a homeowner. The record should state what was reviewed: appearance, dimensions, price, schedule or technical design. Questions outside that scope should go to the appropriate contractor or professional.

Use documentation to improve quality, not replace inspection

Photographs and checklists support quality control but cannot prove every fastening, lap or concealed condition. Competent installation, supervision and required inspections remain essential. Records should reveal issues early enough for correction rather than simply documenting them after completion.
